Backup
To backup the system the program exports the data to a designated
location on your computer or on another computer on the network. The
data can then be restored to the database in the event of a problem.
Note: It is recommended that you backup to another computer, instead
of to a location on the computer where web2school is installed. If
the web2school computer fails and all backups are stored there, you
would not be able to recover your data.
Note: The program only backs up the year in which you are working. To
back up other years, change to the appropriate year and follow the
procedure below.
To Backup Your System:
- Click on the Management Menu
and select Data Management.
- From the Data Management Menu
select Export. Then
select Export Data.
The program displays the Export Data window.
- On the Export Data window
you can select the data items to export. It is recommended that you
accept the defaults and export all data. If you only export parts of
the data and then need to restore, your data may not be synchronized.
- Make sure that the Compressed Mode (Zip)
option is selected or you will not be able to re-import the data if
needed later.
- When the data to be exported has been selected, click OK
to continue.
- The Select Directory screen
is displayed. This allows you to navigate to the computer and
directory or folder where you would like to store the backup. Note
that a diskette will be too small to hold all of your data.
- When you have navigated to the appropriate location you may want to
create a new folder to store the backup. Each backup consists of
multiple files.
- Click the New Folder button
(looks like a folder with a starburst on the right corner). When the
button is clicked a folder called New Folder is created automatically
and stored in the list of files in alphabetical order. Scroll to that
folder and right click on it.
- When the cursor is displayed in the folder name, use the delete or
backspace key to remove the name. Replace it with a name that
indicates when the backup was done and press Enter,
for example Backup10_22_06.
- As soon as the name is changed the folder is resorted alphabetically.
Scroll to its new location and click on it once to select it as the
storage location for the export files. Do
not double click to open it.
- Click OK to begin exporting
data. This may take several minutes depending on the amount of data
you have, the speed of your computer and the speed of your network.
