Using Advanced Student Search

This window is available on all student search windows. However, this set of instructions assumes you are searching from the Administration Menu - Student option.

  1. Click on the AdministrationMenu and select Students to display the Student Search Window.
  2. Click on the Advanced Search button at the bottom of the window to display the Advanced Search window.
  3. Students can be requested either by demographic data or by ID numbers. Click the radio button next to the type of search you would like to complete. To search by demographics, make sure the dot next to Name is black. To search by one or more ID's make sure the dot next to the ID field is black.
  4. Fill in the fields for your search and click the Get List button to display the list of students selected.

Field Definition

Last Name

Enter one or more last names separated by commas. This field also allows wild card searches. You can enter parts of the last names required. For example, Ba,Sm to search for Baker and Smith.

First Name

Enter one or more first names separated by commas. This field also allows wild card searches. You can enter parts of the first names required. For example, Ed,An to search for Ed, Edward, Edwin and Ann, Anne, Anna, Annie.

YOG

Enter one or more years of graduation separated by commas. This field does not allow wild card searches. You must enter all four digits of the year of graduation required, such as 2009,2011, 2012.

Homeroom

Enter one or more homerooms separated by commas. This field does not allow wild card searches. You must enter the entire homeroom name or number. For example, 110,220,MBaker

Category

Select a Descriptive Category from the drop-down list provided. Typical categories would include Bus Number, Town of Residence, Entry Code.

Sub Category

This field is only available when a Category has been selected. For example, if the category Bus Number is selected, this field would contain the list of possible bus numbers. Select the appropriate Sub Category.

User Defined

Select a User Defined field from the drop-down list provided. Typical fields would include Locker #, or Counselor.

Contains

This field is only available when a User Defined field has been selected. For example, if you selected Counselor you would type in the name of the counselor that should be stored in this field.

Note: That this must be an exact match to the data stored in the field. For example, if some students have Green and other students have Mr. Green, you would have to do one search for Green and a second search for Mr. Green.

State Category

Select a State Descriptive Category from the drop-down list provided.

Sub Category

This field is only available when a Category has been selected. For example if the category Status is selected, this field would contain a list of entry statuses for students.

State User Defined

Select a State User Defined field from the drop-down list provided. Typical fields would include SAU #, or School ID.

Contains

This field is only available when a State User Defined field has been selected. For example, if you selected School ID you would type in the number of the School ID that should be stored in this field.

Note: That this must be an exact match to the data stored in the field. For example, if some students have School ID 1276 and other students have #1276, you would have to do one search for 1276 and a second search for #1276.

Gender

Use the drop-down list to choose Male, Female or All.

Status

Use the drop-down list to choose Active, Inactive or All.

IDs

This field is only enabled when you are searching strictly by ID number. Use the drop-down menu to select the type of ID (System ID, State ID or District ID). In the field below, enter one or more IDs separated by commas.
