Note: Study Halls should not be included in Preliminary Section Data.
- Click on the AdministrationMenu
and select Schedule Builder.
- From the Schedule Builder Menu
select Preliminary Section Data.
The Preliminary Section Data search window is displayed. To view
other sections select All in
the Search By field and
click Get List.
- Click the Add button at the
top of the window to display the Add
Preliminary Section Data window.
- Click in the Select Course
field and choose the course for which you are adding a section.
- Click in the Sec field and
type the section number of this course (1-99). There can be only one
instance of a course number/section number combination (i.e. 204
section 1).
- The Priority field always
defaults to 5. Leave it at 5 unless you are having problems
scheduling this particular section. The highest priority is 9 and the
lowest is 1. In addition to these numbers, priority is also
controlled by the course number. Courses in the 100's have higher
priority than the 200's and so on. See Course
Number Guide.
- The Link field should be set
to 0 unless you wish to link two or more sections together. This
number links sections in your master schedule together, keeping the
same group of students together. Students who request course numbers
with linked sections have those courses assigned to their schedules
first to ensure that they are not shut out. If you do not want to
link this section to another section in your master schedule enter
the number 0. See Linking.
- Click in the Room Resource
field and select the resource that should be used for this section.
- In the Seating Section,
click in the Optimum field
and type the preferred number of students to be assigned to this class.
- In the Seating Section,
click in the Maximum field
and type the maximum number of students to be assigned to this class.
If you have multiple sections of a course you can use the optimum
seating number to force the computer to balance your classes. If you
have 4 sections of a course with a max of 25 students each, you would
put an optimum number of 22 students and a maximum number of 25
students. The computer will fill each section with 22 students first,
then go back and try to fill the sections up to 25 students with the
remaining students.
- In the Grade Level Section,
set the range of grade levels allowed in this course. For example,
Senior English might be set to 12 and 12.
- In the Teacher section you
must indicate if this section will be taught by one specific teacher,
any teacher in one resource, any teacher in a list of resources, all
except a list of resources, or copy from another section.·
If you choose to copy from another section,
select the course number and section number of the section to be copied.
If you choose one specific teacher,
select the teacher resource and then the specific teacher within
that resource who will teach this section. ·
If you choose any teacher in one resource,
select the teacher resource.
- If you choose any teacher in a list
of resources or all except a list of resources, click the List
of Resources button and select the appropriate resource
names. ·
- In the Meeting Times section
you must indicate whether you want Possible
Periods, Days, Terms or Exact
Times. Click on one to select it. Then click the Edit
Times button to display the Advanced window.
Note: Possible Periods, Days, Terms are ranges of times that the
program can select. Exact Times are complete sets of times from which
the program can select.
- If you selected Possible Periods,
Days, Terms:
In the Possible Terms
section, enter the different combinations of terms that this course
could meet. For example, if this is a semester course, Set 1 would be
1,2 and Set 2 would be 3,4. Make sure to separate entries by commas.
The program can choose Set 1 or Set 2 when the schedule is built.
In the PossiblePeriods
section, enter sets of periods that the program can choose. For
example, if the course is a one period class, Set 1 could be period
4, Set 2 could be period 5, Set 3 could be period 1. If the course
meets multiple periods, enter all periods on a single line separated
by commas. For example, Set 1 could be periods 1,2 and Set 2 could be
periods 3,4 and so on.
In the Possible Days
section, enter sets of days that the program can choose. For example
if this class can meet either Monday, Wednesday, Friday or Tuesday,
Thursday you would enter Set 1 as 1,3,5 and Set 2 as 2,4. Days should
be entered as numbers.
Click OK.
- If you selected Exact Times:
Begin with Meeting Time 1.
Click in the Terms field and
type the exact terms for this meeting time (i.e. 1,2,3,4).
In Meeting Time 1, click in the Day 1
field and type the period(s) the course can meet on that day.
Continue with Day 2 until
each day has a period. If the course will not meet on a particular
day enter a 0. If a course meets more than one period on a certain
day, enter the periods separated by commas (i.e. 1,2).
You can enter from 1 to 10 distinct sets of meeting times. You do not
have to complete all 10 sets.
Click OK.
- Click OK to save this section.
