View Attendance - Field Definitions

This section of the View Attendance window lists each day in the school calendar that the student was enrolled based on his or her entry date. Days that the student was not enrolled do not appear on the list. Therefore, if you have a student who entered, withdrew and entered again, the list will not include the days he was withdrawn.

Field Definition

Total Present

Each day in the school calendar has a value of either 1 or .5. When a student is marked Present the value for the day is tallied. Any daily attendance category that has a value greater than zero increments the student's total present value. This field indicates the total present value for a student. If a student has cut class, this value may be reduced by the value of one period depending on the Class Attendance Configuration.

Present value is calculated using the value of the day (either 1 or .5) and the value of the attendance category. For example, the category Present All Day has a value of 1. A student assigned that category would have a present value of 1 and an absent value of 0. If the school day is a half day, then the student would have a present value of .5 and an absent value of 0. The combination of absent value and present value must add up to the value of the calendar day.

Total Absent

Indicates the total absent value for a student. Absent value is calculated using the value of the day (either 1 or .5) and the value of the attendance category. For example, the category Absent All Day has a value of 0. A student assigned that category would have a present value of 0 and an absent value of 1. The combination of absent value and present value must add up to the value of the calendar day.

Tardy Occurrences

Indicates the number of times the student has been marked Tardy. Any other category that is listed as a Tardy type would increment this number also. For example, if you have a category named Tardy/Dismissed and it is set as both a Tardy type and a Dismissed type, the category would count as one occurrence of tardy and once occurrence of dismissed. The present value for the day would be added to the Total Present field.

Dismissed Occurrences

Indicates the number of times the student has been marked Dismissed. Any other category that is listed as a Dismissed type would increment this number also. For example, if you have a category named Tardy/Dismissed and it is set as both a Tardy type and a Dismissed type, the category would count as one occurrence of tardy and once occurrence of dismissed. The present value for the day would be added to the Total Present field.

Date

Date for which attendance has been recorded

Attendance Category

Category to which the student has been assigned, such as Present or Absent or Tardy.

Times

Displays one or more times associated with a particular student's attendance category. For example, if the student is Tardy, this would indicate the time the student entered school. If a student is Dismissed, this would indicate the time the student is permitted to leave school.

Reason

Displays a reason associated with a particular student's attendance category. For example, if the student is Tardy, this would indicate why the student is Tardy. If a student is Dismissed, this would indicate why the student is permitted to leave school, such as an appointment with a doctor.
