Infraction Information Window

Add Discipline Incident

Field Definition

Date

Date the incident took place. This field defaults to the current date, but can be modified.

Time

Time the incident occured. Time is selected from a user defined set of times. Times are created under Setup-Discipline.

Place

Place the incident occurred. Place is selected from a user defined set of places that are created under Setup-Discipline.

Infraction

ID

ID number of the infraction(s) selected.

Infraction

Name of the infraction(s) selected.

Demerits

Number of demerits associated with the infraction(s) selected.

Property

Property associated with the infraction(s) selected. Properties are used to group infractions and to allow for better reporting. For example, an infraction called Bullying and an infraction called Fighting might both be grouped under the Property “Assault”.

Type

Type associated with the infraction(s) selected. Types are used to group infractions and to allow for better reporting. For example, you could break infractions up into Major and Minor infractions or Violent and Non-Violent infractions.

Add

Opens the list of infractions and allows you to select one or more.

Note: Selecting more than one infraction disables the Suspensions/Detentions Tab, the Weapons Tab and the Victims tab. This is done because each infraction is stored as a separate record in the database. Selecting multiple infractions and then adding a Suspension would cause the suspension to be recorded once for each infraction. You have the option of selecting multiple infractions and saving the incident. Then going back and modifying one of the infractions to add Suspensions/Detentions, Weapons or Victims.

Delete

Removes the selected infraction from the list of infractions associated with this incident.

Student Tab

ID

System ID number of the student involved in this incident.

Name

Name of the student involved in this incident.

Add

Allows you to select one or more students and record this incident on their discipline record.

Delete

Allows you to remove a previously selected student from the list of students involved in this incident.

Student Notes/Edit

Allows you to select a student on from the list on the left, click the Edit button and enter a short note about that particular student and his/her involvement in this incident.

At the bottom of the screen, you will see the following fields:

Motivation

Reason the student(s) committed the infraction(s). This list is created under Setup-Discipline. Examples could include Bullying, or Sibling Issues.

Demerits

This is an optional field that allows you to enter Demerits if required by your school. Note that Demerits entered here will be recorded for each infraction selected.

Closed

Indicates that all aspects of the incident have been completed.

Export To CSV

Exports infraction data to a comma separated file. Data includes Guardian 1 information allowing you to do a mail merge using your word processor at a later date.

Teacher Tab

Primary Teacher

Allows you to select the teacher reporting the incident. The list is generated based on people included under Administration-Personnel who are marked as Faculty.

Teacher Action

Allows you to indicate the teacher’s response to the incident, such as, Sent to the Office. This list is created by the user under Setup-Discipline.

Associated Teachers

If you would like to save a list of other teachers involved in a disciplinary incident, use the Add button to select one or more teachers from your personnel list.

Add

Allows you to add more teachers to the incident.

Delete

Allows you to delete previously selected teachers from the incident.

Admin Tab

Primary Admin

Allows you to select the administrator in charge of this disciplinary incident. The list of administrators is based on people included under Administration-Personnel who are marked as Administrator.

Admin Action

Action taken in reponse to the infraction. For example students might be required to make restitution for damage or write a letter of apology.

Associated Admin

Allows you to add names of other administrators who were involved with this disciplinary incident.

Add

Displays a list of administrators that can be added to this incident.

Delete

Allows you to remove an administrator from this incident.

Pending

Indicates that the administrator needs to return to this incident to enter additional information. This field can also be used when a teacher enters the initial data. An administrator can then search for pending incidents and take over the record from that point.

Victims Tab

ID

System ID number of the victim of this incident. Note that not all incidents will involve a victim.

Name

Name of the Victim of this incident

Type

Indicates whether the victim is a student, guardian, teacher or administrator.

Add

Allows you to add victims to this incident.

Delete

Allows you to remove victims from this incident.

Suspension/Detention Tab

Type

Displays a list of types of detention and suspension from which you can choose.

Days

Suspensions/Detentions can be given for either days or hours depending on the severity of the infraction. Depending on the option chosen, the fields on the right side of the window are different.

# of Days

Allows you to indicate the number of days of suspension/detention to be assigned.

Select Date

Once the number of days of suspension/detention has been assigned, you must select the individual dates on which the suspension/ detention shall be served.

Date

Dates selected for suspension/detention.

Day

Day of the week selected for suspension/detention.

Served

Indicates whether or not the student has served the selected days.

Start/End Date

Range between the first day of suspension/detention and the last.

Hours

Suspensions/Detentions can be given for either days or hours depending on the severity of the infraction. Depending on the option chosen, the fields on the right side of the window are different.

Date

Dates on which student must serve a suspension/detention.

Day

Day of the week on which student must serve a suspension/detention.

Hours

Number of hours to be served.

Attendance-Abbr The attendance category to be assigned to the suspension days.

Served Hours

Number of hours actually served.

Add

Allows you to add hours.

Modify

Allows you to modify the number of hours owed or indicate the number of hours served.

Delete

If too many dates were entered, this allows you to remove some dates.

Weapons Tab

Weapon

Displays a list of weapons that were involved in this infraction.

Add

Allows you to add weapons to the list for this infraction.

Delete

Allows you to delete weapons from the list for this infraction.

Infraction Notes Tab

Notes

These notes are unlimited. They are added to the record of every student associated with this incident. If multiple infractions have been entered, the notes are added to each infraction when stored in the database.
