Mass Update Attendance Codes
In many states it is common to associate status codes with Entry and
Withdrawal dates. Codes that are commonly tracked are Entry Type,
District, Town of Residency, Grade Level, and Withdrawal Type. For
example, if a student moves from one town to another but still
attends the same school, the user would give the student a withdrawal
date and a withdrawal code, then a second entry date with new
residency codes. The state needs to know how many days the student
was a resident of each town so that tuition can be billed
accordingly. This option allows you to assign codes to specific Entry
and Withdrawal dates. See Student

This tool is generally used only by customers who need to assign multiple
attendance codes.
Steps
- Click on the ToolsMenu
and select Global.
- Click on the Global Menu and
select Attendance.
- From the Attendance Menu select Attendance Codes. to display the Assign
Global Data - Attendance Codes Window.
- Depending on the code type chosen in the previous step, you must
either select an actual code from a list or type in a piece of data
to be assigned. For example, if you chose an Entry Type, you would
probably select a type from a list. If you chose District
Responsible, you would probably type in the district number.
- The Instance field defaults
to 1. This would update the first instance of either an entry or a
withdrawal code and is what you would normally be updating. You do
have the option of selecting other instances. If, for example, you
chose instance 2, the program would only assign codes to students who
had a second entry or withdrawal date.
- Click on the arrow in the Assign
Data To field and select the group of students to which you
are assigning Attendance Codes. For each option in the Assign Data To
field there are corresponding fields below that must be completed.
They are as follows:
- If you selected One Student,
click in the Single Student ID field
and enter the ID number of the student to be assigned.
- If you selected List Of Students,
click in the Multiple Student IDs field and type the list of student
IDs separated by commas ( i.e. 4, 27, 53, 22 ).
- If you selected Year of Graduation,
fill in the First and
Last Years of Graduation to be assigned.
- If you selected Descriptive Category,
click in the Descriptive Category
field and select a category. Then click in the Sub-Category
field and select a sub-category.
- If you selected All Students
no additional information is needed.
- Click OK to begin assigning.
