Entry And Withdrawal Codes

More and more states are requiring that each entry and withdrawal date be linked to one or more codes explaining the circumstances of the entry/withdrawal. In order to accommodate this requirement, we are linking selected descriptive categories, user defined categories, state descriptive categories or state user defined categories to the entry and withdrawal dates.

Note: This may cause some confusion with your staff. You will be able to see these categories both in their original location under the Categories Tab of the Student or State Utilities window and under the Attendance Tab on the student window. Data can be stored in either or both places. Updating one location does not update the other. You are not required to enter data in both locations, just in the Attendance Tab on the Student window. If you enter data in another location your state reports may not be accurate.

To implement this feature you must do the following:

  1. If needed, create descriptive categories and sub-categories for Entry, Residency and Withdrawal codes. See Descriptive Categories.
  2. Indicate which categories are linked to Entry, Residency and Withdrawal dates under the Setup Menu. See Attendance Codes.
  3. Assign codes to students globally. See Mass Update Attendance Codes
  4. Assign codes to students individually. See Student Information - Attendance Tab.
