- Click on the Setup Menu and
select Grade Book.
- From the Grade Book Menu
select Create Grade Book.
- The program displays the Create
Grade Book Information window.
- In the Search By section you
must search for the teachers for whom you will be making grade books.
- If you search by Name, you
can leave the Value field
blank and click Get List to
get all teachers or you can type a last name and click Get
List to display all teachers with that last name.
- If you search by ID, type
the appropriate teacher ID
in the Value field and click Get
List.
Note: Grade Books can be created only for teachers who exist in
Personnel with Teacher checked, and have a user name and password.
- When the list of teachers is displayed, click in the check box
associated with the teachers for whom you are making grade books. The
status will change to New as you select teachers.
The Status column can have one of three pieces of data. If it says
Yes, that means a grade book exists for this teacher. Making
additional grade books will not overwrite grade books labelled Yes.
If it says No, no grade book has been created for this teacher. If it
says New, that means it will create a grade book for that teacher
when the OK button is clicked.
If you have a teacher labelled Yes for whom you wish to create a new
grade book, you must delete his/her grade book first. See Delete
Grade Book for further instructions.
Note: Teachers marked Yes will be ignored when creating grade books.
- Once you have selected the appropriate teachers, click OK.
The program displays the Automatic Calculations window. This
indicates the calculations that should be set to run continuously as
data is entered into the grade book. For example, if you select Final
Grade, each time a daily or term grade is entered, the value of the
final grade is updated on the grade book. Click on the grades to be
calculated automatically.
Note: It is recommended that you select automatic calculations for
every grade that normally appears on your report card. Calculated
grades can be overriden later if necessary. However, if calculations
are not turned on here and the teacher wishes to use them, he must
turn on the calculator for every student for every grade individually.
- The last field on the Automatic Calculations window, Import
From Report Card, allows you to create a grade book in the
middle of the year and bring over grades that may exist on student
report cards. This would typically be used by someone who purchased
the grade book program in the middle of the year.
- When all calculation selections have been made, click OK
to begin creating grade books.
