Assign Homerooms Based On Student Schedules

Most schools assign students either to a teacher (for elementary schools) or a Homeroom (for middle and high schools). Homerooms can be associated with teachers on the Personnel Information Window - Homeroom Tab. Using the Assign By Student Schedule window you can give students a homeroom that corresponds to a piece of data in their schedule. For example, you can give them the room number of their first period class, the course and section number of that class or the name of the teacher as their homeroom.

You can assign one or more years of graduation, the whole school, a list of students or all students in a sub-category to homerooms.

Note: Students must have schedules in the Scheduling System for this option to work.

Note: If you use this method to assign students to homeroom, you may periodically wish to change students homerooms for reporting purposes. For example, if you distribute report cards during the last period of your day, you can temporarily set homerooms to the room number of students' last period class. Then, print report cards sorted by homeroom. Pass the report cards to the teachers and then assign homerooms again based on students' first period class.

Steps

1. Click on the Tools Menu and select Global.
2. Click on the Global Menu and select Homerooms.
3. Click on the Homerooms Menu and select Assign By Student Schedule.
4. The fields in the Select Options section determine which course in the student schedule should be used to set the Homeroom. Select the appropriate Term, Day and Period.

The homeroom that gets created/assigned using this method will appear in the list of available homerooms in other screens, including Setup - Homerooms.

5. The Set field controls which piece of course data is used to fill the homeroom field on the Student Information window. Select either Room, Teacher Last Name or Course and Section Number.
6. The Student Option section of the window determines the group of students to which homerooms are assigned.
7. Click on the arrow in the Assign Data To field and select the group of students to which you are assigning data. For each option in the Assign Data To field there are corresponding fields below that must be completed.

If you selected Year of Graduation, choose a Year of Graduation to be assigned.

If you selected Homeroom, click in the Homeroom field and choose a homeroom from the list.

If you selected All Students you do not need to provide any additional information.

If you selected Single Student, click in the Enter System ID field and type the ID number of the student to be assigned.

If you selected List Of Students, click in the Multiple Student IDs field and type the list of student IDs separated by commas ( i.e. 4, 27, 53, 22 ).

If you selected Category, click in the Descriptive Category field and select a category. Then click in the Sub-Category field and select a sub-category.

8. Click OK to begin assigning.
